As the first point of contact for our clients and community, you will play an important role in ensuring individuals and families feel welcomed, supported, and connected to the appropriate services. This position goes beyond traditional reception duties. We are looking for a self-starter with strong follow-through who can manage client communication, scheduling, referrals, program enrollment, and daily administrative responsibilities while recognizing what needs to be done without waiting for constant direction. The ideal candidate is warm and professional with clients, highly organized behind the scenes, comfortable working in a fast-paced community-based environment, and committed to making sure clients and important tasks do not fall through the cracks. Duties Greet clients, families, visitors, and community partners warmly and professionally Answer and return phone calls, emails, messages, and client inquiries in Haitian Creole and English Provide excellent customer service while helping clients understand available programs, services, and next steps Assist with client intake, referrals, scheduling, and appointment coordination Proactively follow up with new inquiries, referrals, and clients who have not completed the intake or scheduling process Maintain provider availability and work consistently to fill available appointment slots Contact clients when openings become available and assist with coordinating recurring appointments Support enrollment in Moun Lakay programs, including ESL classes, groups, workshops, resource programs, and community services Maintain accurate client, referral, scheduling, attendance, provider-availability, and program-interest trackers Follow up with individuals who have expressed interest in programs to support enrollment and participation Keep calendars, spreadsheets, client information, and administrative records accurate and up to date Monitor outstanding calls, emails, referrals, and administrative tasks and ensure appropriate follow-through Communicate scheduling changes and important information clearly to clients and staff Coordinate with clinicians, interns, program staff, navigators, and leadership as needed Assist with office organization, filing, forms, scanning, copying, supplies, and other administrative responsibilities Maintain a clean, organized, welcoming, and professional front desk and shared office environment Assist with community events, outreach, program preparation, and administrative coverage when needed Complete additional reasonable duties, projects, and tasks as assigned based on organizational needs Qualifications Fluent Haitian Creole and English required Previous front desk, administrative, healthcare, behavioral health, nonprofit, human services, or customer service experience preferred Excellent customer service and interpersonal skills Strong verbal and written communication skills Strong organizational skills with excellent attention to detail Ability to manage multiple responsibilities and prioritize effectively Strong follow-through and ability to complete tasks without repeated reminders Comfortable making outbound calls and consistently following up with clients Ability to work independently and recognize what needs attention without waiting for a daily task list Comfortable using Google Workspace, email, calendars, spreadsheets, and other electronic systems Ability to learn new scheduling, client-management, and administrative systems Ability to handle confidential information appropriately Dependable, punctual, professional, and responsive during scheduled working hours Comfortable working with immigrant individuals and families from diverse backgrounds Spanish and/or Portuguese language skills are a plus What We're Looking For We are looking for someone who takes ownership of the front desk. A strong candidate does not simply complete a list and wait for the next assignment. You should naturally be able to recognize when: A client still needs a call back An appointment opening needs to be filled A referral has not been completed Someone interested in a program needs follow-up A tracker or calendar needs to be updated An email or message still requires a response Something needs attention before it falls through the cracks You should be comfortable prioritizing, problem-solving, communicating, and taking initiative while knowing when something needs to be escalated to leadership.
