Summary:
Receives calls and guests at facility, determines the nature of business, and directs calls and guests to destination by performing the following duties. Perform administrative duties to fit business needs. Maintains and organizes reception areas.
Receptionist Duties include:
Answer all incoming calls. Follows set procedures for Voice-mail, paging etc..
Welcomes all visitors:
Log into Envoy visitor system and assign badge, locate appropriate parties to escort visitor through building Ensures coverage of the phone Other responsibilities with similar skill, work conditions, and responsibilities as assigned.
Administrative Duties include:
Monitors Speed Dial List and Phone Extension List Monitors office supplies and Responsible for ordering office supplies Receives, distributes and completes misc. mailings Distributes faxes Prepare
UPS/USPS
mail for daily pick-up Verify and sign for shipments from outside carriers (UPS, FedEx, DHL, etc.) and notify proper office or individual of receipt of goods Coordinate usage of company vehicles and meeting rooms Assist with customer/employee visits and communicate with proper people Manage inventory of toner supply for all copy machines Manage Staples/office supply orders and distribute them to correct recipients Ensure all printers have plenty of paper/toner to cover the work week and check regularly Monitor basic maintenance of office equipment and communicate to IT any issues Actively work with the safety/security team to ensure the security of the front desk Set the ambiance with appropriate lobby music and ensure cleanliness and organization of front desk area Train other staff at the front desk as needed to cover lunch breaks C ommunicate verbally/written between customers, internal departments, and relevant staff to ensure a smooth customer experience Assist in the coordination of special projects & events where necessary Other responsibilities with similar skill, work conditions, and responsibilities as assigned. Hours Monday - Friday, 7:30am - 4:30pm 1/2-hour lunch Education and/or
Experience:
High School Diploma or GED Six months related office experience Working knowledge of Microsoft Office Bilingual Spanish/English skills
