Job Description
Job Summary We are seeking a highly organized and proactive Office Receptionist to oversee daily operations and ensure the smooth functioning of our office environment. The ideal candidate will possess strong administrative skills, exceptional attention to detail, and the ability to manage multiple tasks efficiently. This role is crucial in supporting our team and enhancing productivity through effective office management practices. Duties Manage and maintain office schedules, ensuring efficient calendar management for staff and meetings. Oversee phone systems, handling incoming calls and directing them appropriately. Develop and manage budgets, ensuring adherence to financial guidelines. Perform clerical duties including filing, data entry, and document preparation. Coordinate vendor management activities, including procurement of supplies and services. Handle payroll processing and maintain accurate employee records. Assist in medical office management tasks as needed, ensuring compliance with regulations. Support administrative functions by preparing reports and maintaining office organization. Foster a positive work environment by addressing employee inquiries and resolving issues promptly. Requirements Proven experience in office management or a related administrative role. Strong skills in schedule management, calendar management, and clerical tasks. Familiarity with budgeting processes and vendor management practices. Proficient in using phone systems and other office equipment. Excellent organizational skills with the ability to prioritize tasks effectively. Strong communication skills, both verbal and written. Experience in payroll processing is preferred but not mandatory. Knowledge of medical office management is a plus but not required.
