Job Description
The receptionist has one of the most important positions in the school. The front desk area is the "nucleus" of the Student Salon and the receptionist is the first impression a client or prospective student has of the school, as well as the last. As a representative of the beauty industry that we serve, a receptionist should always look great! You should have the latest hairstyle and the latest make-up look. It is important to always take a few moments to acknowledge each and every person that walks in the door, no matter how busy you get. Our clients, current students and prospective students need to know that we are here to serve them. Be very professional and greet clients by their names if they are returning customers. This is a very personal touch and means a great deal to someone when their name is remembered. Please pay close attention and get to know our clients as if they were your own. In order for the day to run smoothly and in an organized fashion, the receptionist should keep the front desk very clean and orderly. We recommend that you arrive at least 15 minutes before the beginning of your shift. This will give you time to perform all opening procedures and prepare yourself for the day. Your daily responsibilities include, but are not limited to, the following: Ensure facility opening duties have been completed Answering phones Take messages and distribute correctly Return all missed calls in a timely fashion Announce/forward/transfer incoming calls to school staff Greeting clients Have clients sign Client Service Agreement and Release forms Check in and cash out clients on the HairMax system Invite clients to complete a satisfaction survey upon completion of the service Inform student stylists when clients arrive & provide service tickets Enter new clients' information and client chemical service formulas into the HairMax system Setting appointments Book appointments by telephone or in person with walk-in clients (do not provide service quotes over the telephone, as we need to evaluate their hair to determine product needed) Pre-book current clients for their next service Change appointments, as needed Maintaining the waiting area Keep the reception desk, shelves/tables, and beverage station clean and organized Stocking front desk supplies Conducting closing procedures Adjust students' time in FAME Freedom database, as applicable Enter students' requirements in the tracking binder and in FAME Freedom database Run 'End of Day' on HairMax system daily and 'Check System Data' weekly Balance cash drawer Ability to commute/relocate: West Springfield, MA 01089: Reliably commute or planning to relocate before starting work (Preferred)
