Job Description
Position Summary We're hiring a Part-Time Front Desk / Guest Experience Coordinator to be the welcoming face and steady heartbeat of our spa. This role is perfect for someone who is personable, organized, and thrives in a service-focused environment—balancing calm hospitality with confident professionalism. What You'll Do Client Experience & Hospitality Create a warm, polished welcome and farewell for every guest (in person and by phone/text/email) Maintain a calm, supportive atmosphere that reflects our "accessible luxury" brand voice Handle guest concerns with empathy, quick problem-solving, and a clear path to resolution Scheduling & Booking Schedule appointments for day spa and medical aesthetic services accurately Confirm appointments, manage reschedules/cancellations, and reduce gaps in the schedule Support smooth check-in/check-out flow and keep guest records organized Sales Support (Non-Pushy, Value-Focused) Educate clients on service options and packages with a warm, helpful approach Promote membership and recurring self-care in a way that feels supportive and aligned with our values Recommend add-ons and rebooking opportunities based on client goals (without being "salesy") Front Desk Operations Process payments, gift cards, memberships, and basic end-of-day tasks Maintain tidy front desk, retail display, waiting area, and intake forms Communicate clearly with providers/therapists to keep the day running smoothly Medical Spa Sensitivity Support inquiries about medical aesthetics with professionalism and appropriate boundaries When medical questions come up, guide guests toward a consultation with our licensed providers What We're Looking For Must-Haves Friendly, confident communicator who enjoys taking care of people Strong organization and attention to detail (scheduling accuracy is key) Comfortable multitasking in a busy environment while staying calm and kind Reliable and punctual with a team-first attitude Professional discretion and respect for client privacy Nice-to-Haves Experience in a spa, salon, med spa, wellness, hospitality, or medical office Familiarity with booking software and point-of-sale systems Interest in skincare, wellness, or aesthetics (we can train the right person) Work Schedule Part-time hours (set schedule preferred) Ability to work some evenings and/or Weekends is a plus What Success Looks Like Guests consistently feel welcomed, cared for, and confident they're in the right place The schedule stays full, organized, and running on time Membership and rebooking conversations feel natural and supportive The front desk is polished, peaceful, and dependable—every day
