Job Summary We are seeking an energetic and highly organized Front Desk Receptionist to be the welcoming face of our Law office. In this vital role, you will manage front desk operations, provide exceptional customer service, and support administrative functions to ensure smooth daily activities. Your positive attitude and professional demeanor will set the tone for visitors, clients, and team members alike. Duties Greet visitors and clients warmly, ensuring a positive first impression of the organization Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette Handle incoming correspondence, including emails, mail, and deliveries with accuracy and promptness Maintain appointment schedules and coordinate meeting room bookings using productivity software such as Microsoft Office and spreadsheets Perform data entry tasks with high accuracy, updating client records and office databases regularly Support office management by organizing files, maintaining supplies, and assisting with clerical duties such as proofreading documents and word processing Utilize computer skills to operate office equipment, and support administrative projects as needed Experience Previous experience in front desk or administrative roles within an office environment is preferred Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with data entry. Excellent organizational skills with the ability to multitask effectively in a fast-paced setting Demonstrated customer service skills with a friendly, professional approach to client communication and support Bilingual abilities are a plus to assist diverse client needs Prior experience managing multi-line phone systems or providing administrative support as a personal assistant is beneficial Proven ability to handle confidential information discreetly while maintaining high productivity levels Join us in creating a welcoming atmosphere where professionalism meets efficiency!
