Job Description

Position Summary We are seeking a dependable, organized, and personable Front Desk Receptionist / Administrative Assistant to support the day-to-day operations of a growing construction company and its affiliated sister companies. This position is the first point of contact for many of our customers, clients, vendors, and business partners. The ideal candidate will provide excellent customer service, maintain a professional and welcoming front office, assist with customer payments and light accounts receivable responsibilities, and provide administrative support to various members of the team. This is a hands-on position for someone who is comfortable staying busy, managing multiple priorities, taking initiative, and helping wherever needed to keep the office running efficiently. Key ResponsibilitiesFront Desk & Customer Service Greet and assist customers, clients, vendors, and visitors in a professional and friendly manner. Answer, screen, and direct incoming phone calls. Respond to general customer questions and direct inquiries to the appropriate team member. Take messages and ensure timely follow-up. Maintain a professional and organized reception area. Communicate with customers regarding invoices, payments, appointments, and general account questions. Provide a positive and professional experience for customers interacting with the company. Payments & Light Accounts Receivable Receive and process customer payments accurately and securely. Provide receipts and maintain appropriate payment records. Assist with basic accounts receivable tasks, including tracking outstanding balances and following up on routine payment questions. Enter and maintain payment and customer information in company systems. Assist with preparing and organizing invoices and account documentation. Communicate with customers regarding outstanding balances when appropriate. Work with the accounting team to ensure payments and account information are properly recorded. Administrative Support Perform daily filing, scanning, copying, data entry, and document organization. Maintain accurate and organized physical and electronic files. Assist with preparing documents, reports, correspondence, and other office materials. Assist team members with routine administrative tasks and special projects. Help coordinate paperwork and information between the office, field personnel, customers, and vendors. Monitor office supplies and assist with ordering as needed. Schedule appointments, meetings, deliveries, or other administrative items as requested. Assist with maintaining records for the construction company and its sister companies. Handle confidential company and customer information appropriately. Team Support Provide administrative assistance to different departments and team members as needed. Help with daily tasks and projects to support the overall operation of the company. Be willing to learn new processes and assist with responsibilities outside of the normal day-to-day routine. Communicate effectively with management, office staff, field employees, customers, and vendors. Help identify and address administrative issues before they become problems. Maintain a positive, cooperative, and team-oriented attitude. Qualifications Previous experience in reception, office administration, customer service, bookkeeping, accounts receivable, or a similar role preferred. Excellent verbal and written communication skills. Professional and friendly telephone manner. Strong organizational and time-management skills. Ability to multitask and prioritize competing responsibilities. Strong attention to detail and accuracy. Comfortable handling customer payments and basic financial information. Basic understanding of accounts receivable and invoicing preferred. Comfortable using computers, email, Microsoft Office, and other office software. Ability to learn company-specific software and procedures. Ability to work independently while also being a supportive team member. Construction industry or office experience is a plus, but not required. Spanish-speaking ability is a plus and would be helpful when communicating with Spanish-speaking customers, clients, or team members, but it is not required. Ideal Candidate The ideal candidate is someone who is organized, dependable, professional, and willing to help wherever needed . This person should be comfortable being the first person customers speak with, while also being able to shift gears and help with administrative, accounting, filing, and other office responsibilities throughout the day. We are looking for someone who takes pride in keeping things organized, follows through on tasks, communicates well, and understands that supporting the entire team is an important part of the position.
Pay:
$15.00 - $18.00 per hour Expected hours: 40.0 per week
