Job Description

We are looking for a highly organized and personable Receptionist Scheduler to support two busy medical practices. In this key role, you will be the first point of contact for patients and visitors, ensuring a welcoming and professional front office experience. Your ability to manage scheduling, coordinate patient care, and maintain efficient office operations will be essential to the success of our healthcare team. You will be responsible for scheduling appointments, verifying insurance coverage, and maintaining accurate patient records, while also providing administrative support to clinical staff. Key Responsibilities Coordinate patient appointments and provider schedules using EMR systems such as Epic, Meditech, or Athenahealth Verify insurance eligibility and complete authorization processes, including Medicare and Medicaid requirements Answer multi-line phone systems with professionalism, assisting patients and staff with courtesy and efficiency Maintain accurate medical records, ensuring documentation is complete and compliant with HIPAA regulations Assist with patient intake, including collecting and updating information in EHR systems Support medical billing and coding processes, including CPT and
ICD-9/10
coding Schedule follow-ups, procedures, and care plans while managing cancellations and rescheduling Perform administrative duties such as filing, data entry, and maintaining organized records Deliver exceptional customer service by addressing patient needs promptly in a busy clinic environment Work collaboratively with clinical staff to ensure smooth workflow and optimal patient experience Qualifications Experience in a medical office or healthcare setting required Familiarity with EMR/EHR systems preferred Knowledge of medical billing, coding (ICD-9/10, CPT), insurance verification, and health information management Proficiency in Microsoft Office and general office software Strong understanding of HIPAA and patient confidentiality practices Bilingual skills are a plus Excellent organizational skills and attention to detail Strong communication skills, including professional phone etiquette and ability to manage multi-line systems Ability to work independently while maintaining a positive, team-oriented attitude in a fast-paced environment
