Job Description:
We are growing and are looking for an experienced medial receptionist to join our team. Our rehabilitation clinics offer a fast-paced and rewarding environment with great patients and staff.
BASIC FUNCTION
Under direction performs a variety of secretarial duties including, but not limited to answering phones, filing, scheduling, transcription, and maintaining medical records for our ABA Pediatric Clinic.
RESPONSIBILITIES
Checks current and discharged patient charts for completeness and accuracy. Files and retrieves patient records accurately. Prepare certifications and re-certifications to be attached with evaluations and progress reports. Follow up on certifications and re-certifications to make sure they are received back within the 30-day limit. Pull files for therapists and add recent documents to files. Put patient file in treating therapists bin when patient arrives for appointment. Accurately files discharged patient charts in Turn-a-Bouts alphabetically. Sorts and distributes mail and office supplies. Schedule patients for new evaluations and take the following information: Name, phone number, Referring Physician, Date of Birth, Diagnosis, Insurance Name, Insurance ID and Insurance phone number. Accurately schedules patients after the evaluation for four weeks at a time and includes a reevaluation. Also coordinates appointments with massage therapy and manual therapy. Copies appointment card and accurately files in patient's chart. Review active patient charts weekly to follow up with patients that do not have appointments scheduled. Prepare a list weekly of patients that need to be scheduled. Calls no show patients daily to schedule appointments. Keeps front office clean and orderly. Answers all phone calls politely and assists the person or transfers to the correct department. Keeps an updated list of physician referrals for the Administrator. Assists with paperwork for Durable Medical Equipment and fax/mail to the appropriate supplier. Mail and fax reports, certifications, scripts or any other material as directed. Empty the trash on a daily basis and put in dumpster. Keeps track of supplies that need to be ordered and submit to Supervisor. Assists supervisor with tasks that may be given. Maintains patient's confidence and keeping information confidential.
