Job Description
Overview Bay Valley Animal Hospital is seeking an experienced Veterinary Receptionist to join our growing team. We are looking for someone who already has experience working in a veterinary hospital or animal healthcare setting and understands the unique pace, communication, and compassion required at the front desk. Our reception team plays an incredibly important role in both the client experience and the daily flow of our hospital. From helping a worried pet owner on the phone to coordinating appointments, communicating with the medical team, and keeping a busy front desk organized, our receptionists help set the tone for every client interaction. The ideal candidate is friendly, dependable, organized, and able to stay calm and professional in a fast-paced environment. Strong communication skills, attention to detail, and the ability to balance compassion with efficiency are essential. We believe a strong team culture is just as important as excellent medicine. Key Responsibilities Provide friendly, compassionate, and professional service to clients in person and over the phone Schedule appointments appropriately based on patient needs and hospital availability Gather accurate information from clients and communicate concerns clearly to the veterinary team Answer incoming calls, emails, and client questions efficiently and professionally Check clients and patients in and out while maintaining accurate medical and financial records Process payments, review invoices, and assist clients with general questions regarding services and payment options Manage prescription and medication requests according to hospital protocols Communicate with veterinarians, technicians, and assistants to help maintain an organized and efficient appointment schedule Recognize urgent or potentially emergent concerns and communicate them promptly to the medical team Maintain accurate client and patient information within the hospital's practice-management system Assist with medical records, appointment confirmations, callbacks, and other administrative responsibilities Help maintain a clean, organized, and welcoming reception area Support coworkers throughout the day and contribute to a positive, collaborative team environment Skills & Qualifications Previous veterinary reception, veterinary assistant, or veterinary hospital experience required Strong client-service and communication skills Comfortable communicating with clients during both routine visits and emotional or stressful situations Ability to multitask and prioritize responsibilities in a busy hospital environment Strong organizational skills and attention to detail Professional and compassionate phone demeanor Ability to remain calm, positive, and solution-focused when schedules change or challenging situations arise Strong computer skills and ability to learn veterinary practice-management software Dependable, punctual, and committed to providing reliable front-desk coverage Ability to work collaboratively with veterinarians, technicians, assistants, and fellow receptionists Willingness to receive feedback, continue learning, and contribute to a supportive team culture Benefits & Perks We believe that when our team is supported, our patients and clients receive the best care.
