Front Desk Bilingual Receptionist Are you a welcoming professional with a talent for multitasking and a passion for providing exceptional service? We are looking for a bilingual, detail-oriented Front Desk Receptionist to be the face and voice of our office. As the first point of contact for our guests, you will play a crucial role in ensuring smooth daily operations and providing a positive, professional experience for every person who walks through our doors or calls our office. The ideal candidate is organized, patient, and able to remain calm and professional in a fast-paced environment.
What You'll Do:
First Impressions:
Greet guests and clients with a professional and warm demeanor, managing the check-in process seamlessly.
Communication Hub:
Manage a multi-line phone system and office email, directing inquiries to the appropriate department and taking detailed messages.
Bilingual Support:
Provide clear and effective communication in both English and Spanish to assist our diverse client base.
Scheduling & Coordination:
Expertly manage digital calendars, book appointments, and handle re-scheduling or cancellations.
Administrative Support:
Assist with essential office tasks, including data entry, filing, processing payments, and maintaining a tidy and organized lobby area.
Problem Solving:
Address guest concerns and handle escalations with patience and a customer-first mindset.
Record Keeping:
Maintain accurate digital records and guest files while upholding the highest level of confidentiality.
What You'll Bring:
Bilingual Fluency:
Professional proficiency in both English and Spanish is required.
Communication Skills:
An excellent phone tone and strong written communication skills.
Organizational Talent:
The ability to manage multiple tasks at once while maintaining a high level of attention to detail.
Technical Proficiency:
Experience with office software (Google Workspace or Microsoft Office) and digital calendar management.
Professionalism:
A proven ability to handle sensitive situations and de-escalate challenging interactions with grace.
Education/Experience:
High school diploma or equivalent; previous experience in a receptionist or administrative role is preferred.
