Overview We are seeking a dynamic and organized Receptionist to join our vibrant team! This essential role serves as the first point of contact for visitors and clients, ensuring a welcoming, professional, and efficient front desk experience. The ideal candidate will possess excellent communication skills, strong organizational abilities, and a proactive attitude to manage daily administrative tasks seamlessly. Responsibilities Greet visitors and clients warmly, providing exceptional customer service and ensuring a positive first impression. Manage multi-line phone systems, directing calls accurately and courteously to the appropriate departments or personnel. Handle incoming and outgoing correspondence, including emails, mail, and packages with precision and timeliness. Maintain organized filing systems, update spreadsheets, and perform data entry tasks to support office operations. Assist with calendar management and scheduling appointments for staff members using productivity software. Support office management activities such as ordering supplies, maintaining inventory, and ensuring the front desk area is tidy. Utilize computer literacy skills to prepare documents, proofread communications, and perform word processing efficiently. Experience Previous clerical or administrative experience in an office setting is highly preferred. Demonstrated proficiency with Microsoft Office Suite (Word, Excel, Outlook) and familiarity with spreadsheets for data management. Experience using QuickBooks or similar accounting software is a plus for handling basic financial tasks. Strong organizational skills with the ability to multitask effectively in a fast-paced environment. Excellent phone etiquette and communication skills in both English and bilingual capabilities are desirable. Proven ability to manage time efficiently, prioritize tasks, and maintain accuracy during data entry or proofreading activities. Prior experience in customer support or front desk roles will help you excel in delivering outstanding client communication.
