Duties Greet visitors, clients, and vendors warmly and professionally, ensuring they feel welcomed and attended to promptly. Manage multi-line phone systems efficiently, directing calls accurately and taking detailed messages when necessary. Handle data entry tasks with precision, maintaining accurate records using spreadsheets and productivity software. Support office management activities such as filing, document proofreading, and organizing supplies to keep the workspace efficient. Assist with calendar management and appointment scheduling for staff and executives. Utilize computer skills including Microsoft Office (Word, Excel) for various administrative tasks. Provide customer support by addressing inquiries, offering information, and ensuring excellent client communication. Skills Strong computer literacy with proficiency in Microsoft Office Suite, spreadsheets, data entry, and general office management software. Excellent phone etiquette with experience operating multi-line phone systems and handling phone communication professionally. Bilingual abilities are highly desirable to serve diverse client needs effectively. Demonstrated organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment. Previous clerical or administrative experience, including office experience or personal assistant roles, is preferred. Technical proficiency in using productivity software such as Word processing programs and QuickBooks for basic financial tasks is advantageous. Exceptional attention to detail for proofreading documents and maintaining accurate filing systems. Strong time management skills to handle multiple responsibilities while maintaining productivity standards.
