Office Manager About the Position We are looking for a friendly, organized, and detail-oriented Receptionist to join our team. This position is an important part of our day-to-day operations and is often the first point of contact for customers, visitors, vendors, and employees. The ideal candidate is professional, dependable, comfortable working with computers and office equipment, and enjoys keeping things organized and running smoothly. Previous office or receptionist experience is preferred, but we are willing to train the right person. What You'll Do Answer and route incoming calls using a multi-line telephone system Greet visitors, employees, customers, and vendors in a professional and welcoming manner Direct visitors and callers to the appropriate person or department Provide general information and assistance to callers and visitors Prepare and type correspondence, reports, schedules, memos, and other documents Maintain organized files, records, and office documentation Sort and distribute incoming mail and prepare outgoing mail Schedule appointments and assist with general office coordination Operate standard office equipment including computers, copiers, fax machines, calculators, and telephones Assist with Accounts Receivable, including invoicing and recording incoming payments Assist with accurate data entry and basic accounting-related tasks Maintain weekly inventory of office and production supplies such as gloves, paper, tape, boxes, and other materials Perform basic calculations and verify information for accuracy Assist with other administrative duties and projects as needed Support the office and production team as business needs change and grow What We're Looking For High school diploma, GED, or equivalent experience Previous office, receptionist, administrative, or customer service experience preferred Strong verbal and written communication skills Professional and friendly telephone manner Comfortable using computers and standard office software Ability to operate common office equipment Strong attention to detail and accuracy Basic math skills Ability to organize information, maintain records, and manage multiple tasks Dependable and professional with a positive attitude Ability to communicate effectively in English Willingness to learn new processes and systems What Will Make You Successful We're looking for someone who: Enjoys helping people and providing excellent customer service Takes pride in being organized and accurate Can work independently while also being a team player Is comfortable handling a variety of responsibilities throughout the day Communicates clearly and professionally Follows through on assignments and pays attention to details Is willing to learn and take on additional responsibilities as the company grows Physical & Work Requirements This position involves a combination of sitting, standing, walking, computer work, telephone communication, and general office activities.
