JOB TITLE
FOC Receptionist - Part Time
REPORTS TO
Friend of the Court Supervisor ___________________________________________________________________________ SUMMARY Answers telephones, directs callers and clients to proper location, answers routine questions, receives and receipts support payments, types forms and other documents, files documents and performs other related general clerical support duties.
PRINCIPAL DUTIES AND RESPONSIBILITIES

  • Answers the telephone and screens callers and clients; determines nature of inquiries and directs callers and clients to appropriate location.
  • Provides case, hearing, payment and procedural information to clients in response to routine inquiries; refers more complex inquiries to appropriate staff.
  • Receives support payments.
  • Files case documents in case files, pulls information from files for clients and staff, and returns case files to proper location.
  • Assists case management staff when necessary in gathering documentation for purposes of enforcement and support reviews.
  • Opens mail, records payments in mail payment log and distributes mail to staff.
  • Processes all mail returned by the USPS, changes of address and other demographic information.
  • Operates computer terminal to access and enter case information and to prepare forms and correspondence.
  • Reviews all updated documentation related to state policy and procedure, statutory changes, computer programming and functionality, training material and SCAO policy memorandums in order to perform job duties.
  • Functions as a mandatory reporter to Child Protective Services.
  • Assists in other areas of the office when required.
  • May assist in all 46th Circuit Court Divisions in Otsego County when necessary to meet the needs of the court.
  • Performs other duties as assigned by the Chief Circuit Court Judge, Friend of the Court Supervisor or Court Administrator.

QUALIFICATIONS
Education:
High school graduation or equivalent
Experience:
One year of clerical experience. Ability to operate a computer, utilize word processing and other common computer programs, and general office equipment.
Core Competencies:
Position requires the ability to work independently, be adaptable and detail oriented, comprehend and apply statutes and court rules, multi-task and be adept at operating all automated systems to assist the court in managing information. Must possess strong problem solving abilities, decisiveness, a strong work ethic, math skills particular to the position as well as organizational, excellent verbal communication and time management skills. ______________________________________________________________________________ The qualifications listed above are guidelines for selection purposes; alternative qualifications may be substituted if sufficient to perform the duties of the job.
