Job Description
Ground Control Property Services is seeking a dependable, organized, and professional Receptionist / Administrative Assistant to join our office team. This position is often the first point of contact for our customers, vendors, employees, and subcontractors and plays an important role in keeping daily office operations organized and running efficiently. Responsibilities Answer and direct incoming phone calls professionally Greet customers, vendors, applicants, and visitors Monitor and respond to general emails and customer inquiries Take detailed messages and ensure they reach the appropriate team member Enter and update customer, job, and contact information Assist with scheduling appointments and service requests Create, organize, scan, and file company documents Assist with work orders and job paperwork Follow up with customers regarding scheduling and general requests Assist with invoice and purchase documentation Maintain organized electronic and paper filing systems Communicate with field employees and supervisors as needed Assist management and other office staff with administrative projects Perform general data entry and office support Help ensure open requests and administrative tasks are followed through to completion Qualifications Previous receptionist, administrative assistant, customer service, or office experience preferred Professional and friendly phone presence Strong organizational and time-management skills Excellent written and verbal communication Comfortable working with computers and learning new software Experience with Microsoft Office and/or Google Workspace preferred Accurate data-entry skills and strong attention to detail Ability to manage multiple priorities in a fast-paced environment Dependable attendance and punctuality Ability to communicate professionally with customers and coworkers Willingness to take initiative and follow through on assigned tasks Ideal Candidate We are looking for someone who is organized, dependable, detail-oriented, and comfortable taking ownership of their responsibilities. The right candidate will be able to handle a busy phone line, keep information organized, follow up on outstanding items, and help make sure nothing falls through the cracks. Experience in landscaping, construction, property management, trucking, field services, or a similar service-based business is helpful but not required.
