The ideal candidate will serve as the first point of contact for visitors and callers, providing exceptional customer service and ensuring smooth office operations. This role requires excellent communication skills, proficiency with office management tools, and the ability to handle multiple administrative tasks efficiently. Prior office or clerical experience, along with strong organizational and computer skills, are essential for success in this position. Responsibilities Greet visitors and clients warmly, maintaining a professional and friendly demeanor at all times Manage multi-line phone systems, screen calls, and direct inquiries appropriately Schedule appointments, manage calendars, and coordinate meetings using Google Workspace or Microsoft Office tools Perform data entry, filing, and maintain accurate records using QuickBooks or other office management software Handle incoming and outgoing correspondence, including emails and mail distribution Assist with administrative tasks such as proofreading documents, managing office supplies, and organizing files Provide customer support by addressing inquiries promptly and professionally Support office management activities including bookkeeping, calendar management, and general clerical duties Maintain a clean and organized reception area to ensure a welcoming environment for visitors Requirements Proven experience in an office setting, including clerical or administrative roles Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills Experience with multi-line phone systems and excellent phone etiquette Ability to manage calendars efficiently and prioritize tasks effectively Bilingual abilities are a plus to assist diverse clientele Knowledge of QuickBooks or similar bookkeeping software is desirable Exceptional organizational skills with attention to detail and accuracy in proofreading and data entry Excellent customer service skills with a professional demeanor at all times Previous experience in medical or dental receptionist roles is advantageous but not required Personal assistant or office management experience is beneficial Ability to handle multiple responsibilities simultaneously while maintaining professionalism and composure
