Our front desk team is the hub of the clinic, keeping operations running smoothly while supporting therapists, families, and leadership. No two days are exactly the same. Position Overview The Front Desk Coordinator is responsible for managing front desk operations, supporting scheduling and patient flow, assisting with insurance and billing processes, and helping create a positive experience for every family who walks through our doors.
Key Responsibilities:
Front Desk & Operations Greet and check in families Answer phones and respond to inquiries professionally and efficiently Schedule appointments and manage daily clinic flow Verify insurance benefits and collect copays and patient payments Maintain accurate documentation and communication records Clinic Support Open and close the clinic as scheduled Keep the clinic clean, organized, and welcoming Monitor and restock office and clinic supplies Maintain the professional appearance of the front desk and shared spaces Administrative & Billing Support Assist with insurance authorizations and benefit verification Support billing workflows and documentation processes Maintain accuracy and confidentiality of patient information Community & Marketing Support Assist with outreach to local businesses, schools, and community organizations Help distribute marketing materials and flyers Support community events, open houses, and clinic initiatives Qualifications Prior front desk, administrative, customer service, or healthcare office experience preferred Strong organizational and multitasking skills Excellent written and verbal communication Comfortable using computers and learning new software systems Professional, friendly, and confident demeanor Strong attention to detail Ability to work independently and as part of a team Reliable, adaptable, and solution-oriented Why Join Flourishing Lives? The position requires the ability to frequently push, pull, or lift objects weighing up to 50 pounds with assistance from others. Manual Dexterity:
The position requires frequent use of fine and gross motor skills necessary for activities including typing, writing, operating office equipment, handling paperwork and supplies, and assisting with clinic equipment. The position may also require moderately difficult manipulative tasks, including moving or attaching clinic or suspended equipment.
Coordination:
The position requires gross body coordination necessary to safely navigate an active pediatric therapy environment, including walking across uneven foam equipment or mats and assisting with the movement or organization of larger clinic equipment.
Mobility:
The position requires frequent walking and standing throughout the clinic. The employee may occasionally sit for prolonged periods and frequently bend, reach, stoop, or move equipment and supplies.
Visual Requirements:
The position requires the ability to frequently view objects and information both near and at a distance, including computer screens, written documents, schedules, patients, families, and activity throughout the clinic.
Hearing:
The position requires the ability to hear and communicate effectively in an active clinic environment that may include significant background noise. This includes answering telephones, communicating with families and team members, and recognizing relevant sounds or equipment alerts.
Work Environment:
The employee works in an active pediatric therapy clinic where children may be moving throughout the environment and noise levels may vary considerably. The employee may encounter therapy equipment, toys, sensory materials, food, cleaning products, bodily fluids, and other conditions commonly associated with a pediatric healthcare environment.
Pay:
$17.00 - $20.00 per hour
