Job Description
Job Summary I am seeking a professional and organized Secretary/Receptionist to join my office. This role is vital in ensuring smooth daily operations through effective communication, administrative support, and excellent customer service. The ideal candidate will be responsible for managing client interactions, handling clerical tasks, and maintaining an organized office environment. This paid position offers an opportunity to contribute to a dynamic workplace while utilizing strong organizational and computer skills. Responsibilities Serve as the first point of contact for clients and visitors, providing courteous and professional reception services. Manage client communication via phone, email, and in-person interactions, ensuring clear and effective correspondence. Handle incoming calls with proper phone etiquette and direct inquiries to the appropriate personnel. Perform word processing and document preparation using Microsoft Office applications, including creating, editing, and formatting documents. Maintain accurate records through data entry and filing systems, utilizing time and billing software as required. Support administrative functions such as scheduling appointments, organizing meetings, and managing office supplies. Assist with clerical tasks including typing, photocopying, scanning, and maintaining organized files. Demonstrate strong organizational skills to prioritize tasks efficiently and manage multiple responsibilities simultaneously. Skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and general computer literacy. Excellent word processing skills with attention to detail. Strong phone etiquette with the ability to communicate professionally with clients. Effective organizational skills to manage multiple tasks efficiently. Previous clerical or office experience is preferred. Ability to learn and operate time and billing software effectively. Good typing speed and accuracy. Friendly demeanor.
