Front Desk Receptionist / Clinic Administrative Assistant Acupuncture and Massage School of Oriental Medicine (AMOM) Southfield, Michigan | In Person Physical Therapy and Chiropractic Office Experience Highly Preferred Have you worked at the front desk of a physical therapy clinic or chiropractic office? We are looking for a friendly, dependable, and organized team member to help manage our front desk, coordinate daily clinic activities, and provide administrative support. About the Position You will be the welcoming first point of contact for clients, students, and visitors. Your work will help ensure appointments run smoothly, questions receive timely answers, and our school and clinic remain organized. You will work closely with practitioners, instructors, administrators, and the school director. We value initiative, attention to detail, reliable follow-through, and an interest in building a lasting working relationship with AMOM. Previous front desk or receptionist experience in a physical therapy clinic, chiropractic office, hospital, medical clinic, or spa is required. Key Responsibilities Front Desk Reception and Customer Service Welcome clients, students, instructors, and visitors warmly and professionally. Answer phone calls, return voicemails, and respond to emails and messages promptly. Provide accurate information about clinic services, pricing, school programs, and appointment availability. Schedule, confirm, reschedule, and cancel appointments. Coordinate recurring appointments and follow-up visits. Send appointment reminders and respond to scheduling inquiries. Assist with client check-in and checkout, process payments, and provide receipts. Address routine questions and concerns and refer unresolved issues to management. Clinic Operations and Scheduling Coordinate daily schedules with practitioners, student clinicians, and clinic supervisors. Manage multiple appointment calendars and communicate changes promptly. Help maintain smooth client flow and ensure treatment rooms are ready for appointments. Ensure clients complete required intake forms, consent forms, and other paperwork. Maintain organized client records and follow up on missing documents. Monitor clinic supplies and communicate replenishment needs. Report scheduling conflicts, client concerns, and facility issues to the appropriate supervisor. Administrative and Staff Support Assist instructors, administrators, and the school director with daily tasks. Prepare, scan, copy, file, and organize documents. Accurately update scheduling systems, spreadsheets, and school or clinic databases. Assist with student paperwork, attendance records, and routine communications. Support school tours, orientations, meetings, and event coordination. Follow through on assigned tasks and communicate progress. Maintain confidentiality and professionalism in all interactions. Facility Organization and Cleanliness Help keep treatment rooms, clinic areas, classrooms, and common spaces clean, organized, and ready for clients and students. Keep the reception desk and waiting area tidy and welcoming. Assist with room preparation, light cleaning, supply restocking, and laundry coordination as needed. Follow established cleaning and sanitation procedures. Notify management of maintenance needs or facility concerns. Required Qualifications Previous front desk or receptionist experience in a physical therapy clinic, chiropractic office, hospital, medical clinic, or spa. Experience answering phone calls, scheduling appointments, and assisting clients or patients. Strong communication skills and a professional phone manner. Excellent customer service skills, including patience and courtesy when handling concerns. Comfort using computers, email, online calendars, scheduling software, and basic office applications. Strong organizational skills, accuracy, and attention to detail. Ability to manage multiple tasks and changing priorities. Reliability, punctuality, and consistent follow-through. Ability to work independently and collaborate with others. Discretion when handling confidential client, student, and business information. Willingness to assist with light cleaning and routine facility organization. Preferred Qualifications — Priority Consideration Front desk, patient scheduling, or administrative experience in a physical therapy clinic or chiropractic office is our highest priority. Experience coordinating recurring appointments, multiple providers, and a busy patient schedule. A background in healthcare administration, medical office management, or clinic operations. Experience using electronic patient records or practice management software. Experience maintaining patient records, collecting payments, and supporting daily office operations. Additional experience in acupuncture, massage therapy, rehabilitation, or wellness settings.
