In this vital role, you will manage front desk operations, serve as the first point of contact for visitors and clients, and ensure smooth administrative flow throughout the office. Your positive attitude, excellent communication skills, and ability to multitask will help create a professional and friendly environment that reflects our commitment to exceptional service. This paid position offers an exciting opportunity to develop your office management skills while supporting daily operations across various departments. Duties Greet visitors, clients, and vendors warmly, ensuring they feel welcomed and attended to promptly Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette Handle incoming correspondence, including emails, mail, and packages, with accuracy and confidentiality Maintain appointment calendars and schedule meetings using calendar management tools and Google Workspace applications Perform data entry, filing, proofreading, and other clerical tasks to support office operations Assist with bookkeeping tasks using QuickBooks or similar accounting software when needed Support office management activities such as supply inventory, organization of files, and maintaining a tidy reception area Qualifications Proven experience in office administration or clerical roles with strong organizational skills Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools Strong customer service skills with the ability to handle inquiries professionally and courteously Bilingual abilities are highly desirable to serve diverse client needs effectively Experience with multi-line phone systems, data entry, filing, and proofreading is preferred Knowledge of medical or dental receptionist duties is a plus but not required Personal assistant or medical receptionist experience can be advantageous for this role This position is ideal for motivated individuals who thrive in dynamic environments and are eager to contribute their organizational talents.
