Job Description

Job Overview We are seeking a dynamic and friendly Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to visitors, clients, and team members. Your organizational skills and office management expertise will ensure smooth daily operations while creating a positive first impression. This paid position offers an exciting opportunity for someone with strong clerical and administrative experience to thrive in a fast-paced environment. Responsibilities
  • Answering incoming telephone calls in a cheerful and marketing-orientated way determines the purpose of callers, and forwards calls to appropriate personnel or departments.
  • Retrieves messages from voicemail and forwards to appropriate personnel.
  • Takes and delivers messages or transfer calls to voicemail when appropriate personnel are unavailable.
  • Answer general questions about the community and provide callers with address, directions, and other information and refer other specific questions to appropriate staff.
  • Welcomes on-site visitors, determines the nature of business, and announces visitors to appropriate personnel.
  • Greet and direct guests. Maintain guest sign in/out book. Advise staff when a resident leaves/return from the facility.
  • Maintain current list of residents who are hospitalized.
  • Update appointment calendars, including transportation and beauty calendars, as directed.
  • Receives, sorts, and routes mail, and maintains and routes publications.
Delivery packages to the necessary areas. Maintains copy and fax machines, assists users, sends faxes, and retrieves and routes incoming faxes. Creates and prints fax cover sheets, memos, correspondence, reports, and other documents when necessary. Performs other clerical duties as needed, such as filing, photocopying, and collating. Orders, receives, and maintains office supplies. Reception area is to be kept clean, including watering the plants at the entryway. Coffee Bar is to be maintained throughout the day. Advise when supplies are running low. Print out monthly statements and check for accuracy before mailing. Mail one copy of the resident statement and put another copy of the resident statement in a A/R binder alphabetically. Attach copy of checks received from residents or their families in A/R binder to keep track of payments.
  • Facility census is to be updated weekly and submit a copy to Administrator weekly.
  • Employee Roster is to be updated as needed with current employees/phone numbers.
Requirements Proven experience in office management or administrative support roles with strong organizational skills. Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications. Experience with multi-line phone systems and phone etiquette to handle high-volume calls confidently. Bilingual abilities are highly desirable to serve diverse clientele effectively. Familiarity with clerical tasks such as filing, data entry, proofreading, and calendar management. Knowledge of office equipment operation including printers, scanners, and fax machines. Previous experience as a dental or medical receptionist is a plus; personal assistant experience is also valued. Strong time management skills with the ability to prioritize tasks efficiently in a busy environment.
