Job Description
Job Overview We are seeking a Receptionist/Administrative Assistant in our small outpatient physical therapy clinic. Our current Receptionist/Administrative Assistant will be partially retiring October 1st, but will stay on to mentor and assist with training in. With that in mind, there is adaptability for the right candidate to work part-time or full-time. We are looking for a compassionate, caring, well organized individual who will create a welcoming environment for clients over the phone and in person while ensuring the smooth operation of daily clinic functions. The ideal candidate will possess excellent communication skills, be highly organized, and demonstrate proficiency with our scheduling software. Duties Greet visitors and clients warmly, providing exceptional customer service and maintaining a professional and upbeat front desk presence Manage multi-line phone systems, screen calls, and direct inquiries efficiently using courteous phone etiquette Perform data entry tasks accurately using spreadsheets and Word processing Check patient insurance benefits and contact insurance carriers as needed if there is a concern regarding payments or further documentation that may be needed Assist with calendar management, schedule appointments for existing patients and new patients Support clerical tasks such as proofreading documents, preparing correspondence, and managing files Faxing Reports to referring providers and correctly placing in the patient cases when reports are received from outside this clinic Requirements Proven office management or administrative experience with strong organizational skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with spreadsheets and data entry processes Ability to quickly adapt/learn new software tools and technical systems Strong communication skills in both verbal and written forms Experience with multi-line phone systems, front desk operations, and customer service best practices Demonstrated ability to manage time effectively, prioritize tasks, and handle multiple responsibilities simultaneously Previous experience supporting clients or providing customer support in a professional setting
