In this vital role, you will manage front desk operations, provide exceptional customer service, and support administrative functions to ensure smooth daily operations. Your positive attitude and organizational skills will help create a professional and friendly environment for clients, visitors, and team members alike. Duties Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly Manage multi-line phone systems, directing calls efficiently and professionally Handle all incoming correspondence, including emails, mail, and deliveries with accuracy Maintain organized front desk area, including filing, data entry, and document management Support office management tasks such as calendar scheduling, appointment setting, and meeting coordination Utilize productivity software like Microsoft Office (Word, Excel) and Google Workspace for document creation and data management Assist with client communication, providing information or directing inquiries to appropriate staff members Perform clerical duties including proofreading documents, managing spreadsheets, and maintaining office supplies Requirements Proven experience in office administration or reception roles with strong clerical skills Proficiency in Microsoft Office Suite (Word, Excel), and Google Workspace. Excellent phone etiquette with experience managing multi-line phone systems Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment Demonstrated computer literacy including familiarity with spreadsheets, word processing, and productivity software Exceptional customer service skills with a friendly and professional demeanor Previous experience in office setting or medical setting. Capable of handling multiple responsibilities simultaneously while maintaining attention to detail Personal assistant or calendar management experience is advantageous Able to manage and schedule incoming marketing leads from our other teams.
