Job Description

Job Summary:
The Missouri Association of Secondary School Principals seeks a skilled and organized Administrative Assistant to join our team. The primary focus of this position will be on communication-related tasks, including social media management, website maintenance, receptionist duties, and membership services. The Administrative Assistant will serve as the first impression for our executive office. The position is part-time, four days a week, totaling 32 hours. Office hours are 7:30-4:00. The successful candidate will provide support to both the Executive Director and other office staff. This role requires multitasking abilities and strong coordination skills for conferences and meetings. The ideal candidate should be resourceful, an excellent problem solver, and possess strong organizational skills. The Administrative Assistant will also attend meetings, take notes, and assist in drafting initiatives for circulation and revision/approvals.
Responsibilities:
Communication Management:
Manage MoASSP's social media platforms, including content creation, scheduling posts, and engaging with followers. Provide support for MoASSP's website with accurate and relevant information. Assist in developing and implementing communication strategies to enhance member engagement and reach a broader audience. Monitor and respond to inquiries and messages received through various communication channels. Ensure timely and accurate member communications, including newsletters and membership updates. Assist with the management of our membership information system
Reception Duties:
Greet and assist visitors, ensuring a positive and professional impression of the MoASSP. Answer phone calls, respond to inquiries, and direct calls to the appropriate staff members. Sort and distribute incoming mail and packages. Maintain the tidiness and organization of the reception area.
Conference and Meeting Coordination:
Assist in the planning and execution of conferences, meetings, and events. Coordinate logistics, including venue selection, catering, audiovisual equipment, and attendee registration. Prepare meeting agendas and materials, take accurate meeting minutes, and circulate them for revision and approvals. Assist with post-event evaluations and follow-up actions.
General Administrative Support:
Manage and prioritize incoming communication, including emails, phone calls, and mail. Maintain office files, records, and documentation in an organized manner. Assist with drafting correspondence, reports, and presentations. Provide general administrative support to the Executive Director and Director of Programming as needed.
Qualifications:
High school diploma or equivalent (Associate's degree preferred). Strong organizational and time management skills. Excellent written and verbal communication abilities. Detail-oriented with a high level of accuracy. Familiar with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Suite. Ability to work collaboratively in a team environment. Resourceful problem solver with a proactive approach. Flexibility to adapt to changing priorities and deadlines. Prior experience in membership management and event coordination is a plus.
