Job Summary We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team! This energetic role is vital in creating a welcoming environment for clients and visitors while ensuring smooth office operations. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills. You will serve as the first point of contact, manage administrative tasks efficiently, and support various office functions to keep our workplace running seamlessly. Duties Greet visitors and clients warmly, providing exceptional customer service and maintaining a professional front desk presence Manage multi-line phone systems, screen calls, take messages, and direct inquiries to appropriate staff members Handle appointment scheduling, calendar management, and coordinate meetings with precision and timeliness Perform data entry, filing, and maintain accurate records using Microsoft Office, Google Workspace, and other office software Assist with bookkeeping tasks using QuickBooks or similar accounting tools to support financial record-keeping Support office management activities including supply inventory, order processing, and maintaining cleanliness of common areas Proofread correspondence, documents, and reports to ensure clarity and accuracy while adhering to company standards Experience Previous office experience or clerical experience demonstrating strong organizational skills and attention to detail Proficiency with computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and data entry skills Experience managing multi-line phone systems and practicing professional phone etiquette Bilingual abilities are highly valued for effective communication with diverse clients and staff Knowledge of office management procedures such as filing systems, scheduling tools, and basic bookkeeping (QuickBooks) is preferred Strong time management skills with the ability to prioritize tasks efficiently in a fast-paced environment Personal assistant or medical/dental receptionist experience is advantageous but not required Join us in delivering outstanding administrative support while fostering a welcoming atmosphere for everyone who walks through our doors!
