Overview We are seeking a professional and dynamic Receptionist/PBX Operator to serve as the first point of contact for our organization. The ideal candidate will possess excellent communication skills, a friendly demeanor, and the ability to manage multiple communication systems efficiently. This role is vital in ensuring smooth office operations, providing exceptional customer service, and maintaining a welcoming environment for visitors and staff alike. The position offers an engaging opportunity to contribute to a well-organized and client-focused workplace. Responsibilities Answer and direct incoming phone calls promptly using multi-line phone systems and operator switchboards, ensuring clear and courteous communication. Prepare written messages and ensure that each employee receives their message. Manage office phone systems by handling multiple lines, transferring calls, and maintaining accurate call logs. Greet visitors professionally, with priority in a courteous manner. Ensure that visitors sign the visitor log. Provides visitors with information as needed. Maintain a staff log, indicating who is in or out of the building. Maintain updates. Provide exceptional customer service by addressing inquiries efficiently and courteously. Performs interdepartmental services throughout the facility with efficiency and accuracy. Prepare and post outgoing mail in accordance with postal regulations. Prepare and receive Federal Express or other special delivery mail as requested. Utilizes the overhead paging system appropriately and with good communication skills. Graduation from a standard high school or equivalent. Must be 21 years or older to apply. Skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) for data entry and administrative tasks. Knowledge of clerical and business practices and equipment. Excellent communication skills with a focus on phone etiquette, active listening, and clear verbal expression. Demonstrated clerical experience in front desk or administrative roles with strong organizational skills. Ability to handle high-volume phone communication efficiently while maintaining professionalism at all times.
