This energetic role is vital in creating a welcoming environment for visitors and clients while ensuring smooth office operations. You will serve as the first point of contact, managing front desk responsibilities, handling multi-line phone systems, and providing essential administrative support. Your proactive approach and excellent communication skills will help keep our office running efficiently and professionally. This paid position offers an exciting opportunity to develop your office management skills in a fast-paced, supportive environment. Professional dress required for law firm receptionist. Must have an interest in working in the legal field. Law office experience preferred. Greet visitors, clients, and vendors warmly and professionally at the front desk Manage multi-line phone systems, screen calls, and direct inquiries appropriately Maintain a clean, organized front desk area and manage incoming/outgoing mail and packages Schedule appointments, manage calendars, and coordinate meetings for staff and executives Perform data entry, filing, and document proofreading to ensure accuracy and organization Support office management tasks such as supply inventory, ordering, and equipment maintenance Assist with clerical duties including typing correspondence, updating records, and supporting customer service efforts Utilize computer skills with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace to complete daily tasks efficiently. MyCase software is used for billing. Proven experience with office management or administrative support roles Strong computer literacy with proficiency in Microsoft Office programs and Google Workspace Excellent organizational skills with the ability to multitask effectively in a busy environment Exceptional phone etiquette and experience managing multi-line phone systems Bilingual abilities are highly valued to assist diverse client needs Knowledge of QuickBooks for basic bookkeeping and data entry tasks Experience as a dental or medical receptionist is a plus but not required Personal assistant or calendar management experience is advantageous Strong attention to detail for proofreading documents and maintaining accurate records Customer service skills with a friendly, professional demeanor Ability to handle clerical tasks such as filing, data entry, and proofreading efficiently Time management skills to prioritize tasks effectively throughout the day Join us in creating a positive first impression while supporting our team's success!
