We are looking for a Front Office Coordinator who shares our passion for client care and attention to detail. Position Overview The Front Office Coordinator is the first point of contact for our clients and plays a vital role in creating a positive and memorable impression. This role combines client interaction, appointment coordination, and administrative support to ensure the smooth daily operations of the spa. The ideal candidate is professional, organized, personable, and thrives in a fast-paced environment.
Key Responsibilities Client Interaction:
Warmly greet clients upon arrival, answer questions, and provide a positive first impression.
Appointment Management:
Schedule, reschedule, confirm, and follow up on appointments using our booking system and EMR; efficiently manage cancellations and no-shows.
Administrative Support:
Answer phone calls and emails, maintain accurate client records, and update information as needed.
Billing & Payments:
Process transactions for services and products; manage the cash drawer and ensure accurate reporting.
Hospitality:
Restock and maintain client snacks and beverages.
Front Desk Operations:
Keep the front desk clean, organized, and stocked with supplies; manage retail inventory and reorder as necessary.
Client Communication:
Send reminders, follow-ups, and updates on upcoming appointments and promotional offers.
Team Collaboration:
Support spa staff with tasks such as preparing treatment rooms and ensuring smooth operations.
Compliance:
Follow company policies, confidentiality requirements, and health and safety standards. Qualifications Previous experience in customer service, hospitality, or administrative support (spa/medical office experience preferred). Strong organizational skills with attention to detail. Excellent communication skills, both in-person and over the phone. Ability to multitask and manage a fast-paced environment. Comfortable working with scheduling systems, EMR software, and payment processing. Friendly, professional, and client-focused demeanor. Pay:
