Job Description

Job Summary We are seeking an energetic and highly organized Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and support administrative functions to ensure smooth daily operations. Your positive attitude and professional demeanor will help create a friendly and efficient environment for clients, visitors, and team members alike. Responsibilities Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly Manage multi-line phone systems, directing calls accurately and professionally using proper phone etiquette Handle incoming correspondence, including emails and mail, with efficiency and confidentiality Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents Support office management tasks such as scheduling appointments, calendar management, and data entry using productivity software like Microsoft Office and spreadsheets Assist with clerical duties including proofreading, word processing, and document preparation Utilize computer skills to update records in QuickBooks or other financial management tools when necessary Provide customer support by addressing inquiries promptly and professionally, ensuring excellent client communication Manage office supplies inventory and coordinate with vendors for procurement as needed Support personal assistant tasks such as calendar coordination and time management for team members Qualifications Proven experience in office administration or front desk roles with strong clerical skills Excellent computer literacy with proficiency in Microsoft Office (Word, Excel) and familiarity with spreadsheets and data entry Experience using multi-line phone systems with professional phone communication skills Bilingual abilities are highly desirable to serve diverse client needs effectively Strong organizational skills with the ability to multitask efficiently in a dynamic environment Knowledge of QuickBooks or similar accounting software is a plus Exceptional customer service skills with a friendly attitude and attention to detail Ability to handle confidential information discreetly and responsibly Previous office experience involving calendar management, filing, proofreading, and administrative support is preferred Join our team to become an integral part of a vibrant organization dedicated to excellence in service.
