POSITION DESCRIPTION
Receptionist/Secretary Camden Early College High School Must obtain and maintain a bus license if employed after June 12, 2003. Reports to: Principal
Purpose:
The School Receptionist/Secretary serves as the first point of contact for students, parents, staff, and visitors. This role requires exceptional customer service, strong organizational skills, and the ability to manage multiple administrative tasks in a fast-paced school environment. The receptionist/secretary is responsible for maintaining a welcoming front office while supporting the daily operations of the school.
Qualifications:
High school diploma and one year of employment in a business office, or an equivalent combination of education and work experience, preferred. Strong organizational skills, ability to prioritize and multi-task Excellent verbal and written communication skills and a professional demeanor Proficiency in Microsoft Word, Excel, and Outlook Ability to work independently with minimal supervision Demonstrated commitment to confidentiality and professionalism
Essential Job Duties & Responsibilities:
Greet all visitors to the school and direct them to the appropriate place or person. Provide professional, welcoming reception/front desk service. Handle both simple and complex inquiries from internal and external customers professionally, following established procedures, referring complex inquiries to relevant staff members, and ensuring all relevant facts and information are recorded and passed on. Answer, log, and direct incoming calls using a multi-line phone and messaging system Prepares and/or edits electronic documents in Word/Excel/Power Point formats. Use Google Docs, Google Sheets, and Google Slides to prepare and share information with staff, students, families, and community members. Process materials for the purpose of disseminating information to appropriate parties Undertake a variety of routine administrative duties to support the team and school (for example, create and circulate the weekly teaching bulletin, manage driver authorization forms, etc.). Organize meetings and coordinate the school's calendar as needed Use the Student Information Management System. Maintain confidential filing systems and archives. Be responsible for the punctual daily opening and closing of the front desk. Receive and distribute courier packages, mail, and faxes; prepare outgoing mail and packages. Serve as the fixed asset contact person for the school, tracking all fixed assets added to or removed from the school and reporting them to the central office coordinator. Assist staff members as needed to facilitate smooth operation of the school. Assist school bookkeeper as needed. Perform other duties as assigned by the principal. Must obtain and maintain a bus license if employed after June 12, 2003.
Knowledge and Abilities:
Working knowledge of general office practices. Working knowledge and ability to use correct grammar, spelling, and punctuation. Working knowledge of elementary arithmetic. Some knowledge of basic bookkeeping. Some knowledge of basic computer operation. Ability to operate standard office machines. Ability to operate a multi-line phone system. Ability to use a basic computer software program and type 40 wpm. Ability to compile information based on general instruction.
