Responsibilities Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly Answer multi-line phone systems efficiently, directing calls accurately and professionally Manage appointment scheduling and calendar coordination using productivity software and calendar management tools Perform data entry tasks with precision, maintaining accurate records in spreadsheets and office management systems Handle clerical duties including filing, proofreading documents, and word processing using Microsoft Office applications Maintain office supplies inventory and coordinate with vendors as needed to ensure smooth operations Provide customer support by addressing inquiries, offering information, and resolving issues with excellent phone etiquette and communication skills Qualifications Proven experience in office management or administrative support roles, preferably with front desk or receptionist duties Strong computer literacy with proficiency in Microsoft Office (Word, Excel), spreadsheets, data entry, and productivity software Excellent organizational skills with the ability to multitask efficiently in a busy environment Exceptional customer service skills complemented by professional phone communication and phone etiquette Bilingual abilities are highly desirable to assist diverse client needs effectively Experience with QuickBooks or similar accounting software is a plus for handling basic financial transactions Previous experience as a medical receptionist or in healthcare office settings is advantageous but not required Join us to be the friendly face that keeps our organization running smoothly!
