We are seeking a dependable, self-motivated Office Support Assistant to join our administrative team and help ensure our office operates efficiently while providing an exceptional experience for everyone who walks through our doors. Position Summary This position combines front-office support, light administrative responsibilities, hospitality, and facility care to help keep our practice operating efficiently. The ideal candidate enjoys helping others, takes pride in maintaining a clean and organized workspace, and is willing to jump in wherever needed to support the team. Success in this role means taking ownership of the office environment and ensuring our members, staff, and visitors experience a clean, organized, and welcoming facility every day. Responsibilities Welcome members, visitors, and vendors in a friendly and professional manner. Answer incoming telephone calls, take messages, and provide front desk coverage as needed. Assist with light administrative duties including scanning, filing, copying, organizing records, and assembling paperwork. Prepare, organize, and reset group rooms and meeting spaces before and after daily programming. Assist with hospitality by preparing refreshments, group snacks, and meeting spaces to create a welcoming experience for members, guests, and staff. Maintain a clean, organized, and welcoming outpatient office throughout the day. Clean, sanitize, and restock office restrooms to maintain a professional and welcoming environment. Vacuum, dust, wipe surfaces, empty trash, and maintain the appearance of reception areas, offices, hallways, group rooms, kitchen areas, and common spaces. Wash, fold, and replace office linens, blankets, pillowcases, towels, and other reusable items used throughout the practice. Restock office, kitchen, hospitality, and restroom supplies, and notify staff when inventory is running low. Receive deliveries, distribute mail, and help organize storage areas and office supplies. Assist in preparing the office for leadership meetings, audits, community partner visits, and special events. Complete errands for office supplies, snacks, refreshments, and other operational needs. Conduct routine walkthroughs throughout the day to ensure the facility remains clean, stocked, organized, and ready to serve members. Support the administrative team with daily operational tasks and other duties as assigned. Qualifications Friendly, dependable, and professional. Strong organizational skills and attention to detail. Self-motivated with the ability to work independently. Positive attitude and willingness to assist wherever needed. Basic computer skills.
