Job Description
Overview We are seeking an organized, dependable, and professional Receptionist/Administrative Assistant to join our team. This position serves as the first point of contact for visitors, employees, vendors, and callers while also providing administrative support to the office. The ideal candidate will have strong communication and organizational skills, be comfortable managing multiple responsibilities, and maintain a friendly and professional attitude in a busy office environment. Schedule Monday-Friday 9:00am-5:00pm. Responsibilities Greet visitors, clients, and vendors with professionalism and warmth, ensuring a positive first impression. Manage multi-line phone systems, screen calls, and direct inquiries efficiently using proper phone etiquette. Handle incoming and outgoing correspondence, including emails, mail, and packages, with accuracy and timeliness. Maintain office supplies inventory, place orders as needed, and organize office spaces for optimal productivity. Utilize Microsoft Office Suite—including Word, Excel (spreadsheets), and Outlook—to prepare documents, reports, and schedules. Assist with data entry tasks using computer literacy skills to update databases and maintain accurate records. Help with managing invoices or expense reports as required. Coordinate with team members to ensure efficient office management and timely completion of administrative projects. Qualifications Proven experience in office administration or clerical roles with strong organizational skills. Excellent computer skills including proficiency in Microsoft Office (Word, Excel, Outlook) and familiarity with productivity software. Experience with multi-line phone systems and phone etiquette is essential. Bilingual abilities are highly desirable to effectively communicate with diverse clients and staff. Prior experience using accounting software is a plus. Strong data entry skills with high accuracy; attention to detail in proofreading documents. Exceptional customer service skills with the ability to handle front desk responsibilities confidently. Ability to manage multiple tasks efficiently while maintaining professionalism under pressure.
