Reporting to the Office Manager, your core responsibilities will include managing phone calls, scheduling appointments, and maintaining organized office records. Your proficiency in computer skills and office management will be essential in ensuring smooth daily operations. With strong skills in multi-line phone systems and bilingual communication a plus, you will enhance our client interactions. Your relevant experience in Microsoft Office and data entry will further contribute to the efficiency and professionalism of our front desk operations. Responsibilities Answer telephone calls and greet visitors Answer questions and provide information to callers, such as company hours of operation and the names of personnel Schedule and confirm appointments Handle routine inquiries, directing more complicated or sensitive matters to appropriate staff members Open and distribute mail Operate a fax machine and other standard office equipment Order office supplies File documents and maintain accurate, organized records Qualifications Proficient in Microsoft Office and Google Suite Strong customer service and phone etiquette skills Experience with multi-line phone systems and front desk operations Excellent organizational and time management abilities Clerical and administrative experience, including data entry and filing Familiarity with calendar management Bilingual communication skills a plus
