Overview We are seeking a dynamic and detail-oriented Receptionist/Administrative Assistant to join our team! In this vital role, you will be the first point of contact for visitors and callers, ensuring a warm and professional experience. You will manage a variety of administrative tasks that keep our office running smoothly, from handling multi-line phone systems to managing schedules and maintaining organized records. Responsibilities Greet visitors and clients with professionalism and courtesy, providing excellent customer service at all times Answer and direct incoming calls using multi-line phone systems with proper phone etiquette Manage front desk operations, including scheduling appointments and maintaining visitor logs Handle data entry, filing, and document proofreading to ensure accuracy and organization Utilize Microsoft Office Suite and Google Workspace to prepare reports, correspondence, and presentations Support office management tasks such as calendar management, supply ordering, and basic bookkeeping using QuickBooks or similar software Assist with clerical duties including photocopying, faxing, mailing, and maintaining organized files Provide support with personal assistance tasks or medical/dental receptionist duties as needed Maintain a clean and welcoming reception area while managing multiple priorities efficiently Experience Prior office experience or administrative support experience is highly preferred Demonstrated proficiency in computer literacy including Microsoft Office (Word, Excel, Outlook) and Google Workspace tools Strong organizational skills with the ability to prioritize tasks effectively in a busy environment Excellent communication skills with a professional phone manner; bilingual abilities are a plus Experience with office management software such as QuickBooks or similar bookkeeping tools is advantageous Familiarity with multi-line phone systems and front desk operations is essential Previous clerical experience including data entry, proofreading, filing, and calendar management is desirable Personal assistant or medical/dental receptionist experience can be beneficial but not required Join us in creating a welcoming atmosphere while supporting our team's success!
