Job Description

Job Summary We are seeking a dynamic and friendly Office Staff / Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service. Your organizational skills, computer literacy, and ability to multitask will ensure smooth daily operations. Responsibilities Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette Handle incoming and outgoing correspondence, including emails, mail, and packages Maintain organized filing systems, data entry records, and document proofreading to ensure accuracy Support office management tasks such as calendar management, appointment scheduling, and personal assistant duties Assist with bookkeeping tasks using QuickBooks or similar software, including invoicing and expense tracking Perform general clerical duties like photocopying, faxing, and maintaining office supplies inventory Requirements Proven experience in office management or administrative support roles with strong clerical skills Excellent customer service skills with a friendly and professional demeanor Proficiency in computer skills including Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry tools Bilingual abilities are highly desirable to assist diverse clients and team members effectively Strong organizational skills with the ability to prioritize tasks efficiently and manage time effectively Experience with phone etiquette and handling multi-line phone systems confidently Attention to detail for proofreading documents and maintaining accurate records Previous experience in bookkeeping or using QuickBooks is a plus Ability to adapt quickly in a fast-paced environment while maintaining professionalism Join us in creating a welcoming atmosphere where organization meets exceptional service!
