Job Description

Job Overview We are seeking an energetic and detail-oriented Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to visitors, clients, and staff. Your organizational skills and office management expertise will ensure smooth daily operations, creating a positive first impression for everyone who walks through our doors. This paid position offers an exciting opportunity to develop your administrative skills while supporting a dynamic team in a professional environment. Responsibilities Greet visitors warmly and professionally, ensuring they feel welcomed and attended to promptly Answer and direct all incoming calls using multi-line phone systems with excellent phone etiquette Manage appointment scheduling and calendar coordination for staff and executives using Google Workspace or Microsoft Office tools Handle data entry, filing, and document proofreading to maintain accurate records and organized files Assist with office management tasks such as supply inventory, mail distribution, and basic bookkeeping using QuickBooks or similar software Support administrative functions including typing correspondence, managing email communications, and supporting customer support inquiries Maintain a tidy reception area and ensure all front desk equipment is functioning properly Skills Proven experience in office management, clerical work, or as a receptionist in a fast-paced environment Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Excellent organizational skills with the ability to multitask efficiently and prioritize tasks effectively Bilingual abilities are highly desirable to assist diverse client needs Exceptional customer service skills with a friendly demeanor and professional appearance Familiarity with phone etiquette and handling multi-line phone systems confidently Experience with data entry, filing systems, proofreading documents, and basic bookkeeping (QuickBooks preferred) Personal assistant or medical/dental receptionist experience is a plus for specialized environments Strong time management skills to handle multiple responsibilities seamlessly Join us to be part of a vibrant team where your organizational talents and customer service skills will shine!
