Job Summary Pure Mind Therapy is a growing outpatient mental health practice in Neptune, New Jersey, providing therapy, psychiatric medication management, and other behavioral health services to children, adolescents, and adults. We are seeking a dependable, organized, and personable Front Desk & Intake Coordinator to support the day-to-day operations of our practice. This individual will often be the first point of contact for new and existing clients and will play an important role in creating a welcoming, professional, and compassionate experience. This position goes beyond traditional front desk responsibilities. The ideal candidate preferably has previous experience working in a mental health or behavioral health office and is comfortable with patient scheduling, insurance verification, intake coordination, electronic health records, and communicating with insurance companies, clinicians, clients, and families. Responsibilities Welcome clients and visitors to the office in a warm, professional, and confidential manner. Answer incoming phone calls, emails, and client inquiries and route communications appropriately. Respond to new client inquiries and assist with the intake and scheduling process. Match new clients with appropriate clinicians based on availability, service needs, insurance, and other relevant factors. Schedule, confirm, reschedule, and cancel appointments while maintaining accurate provider calendars. Verify insurance eligibility and benefits for new and existing clients. Obtain information regarding copays, deductibles, coinsurance, behavioral health benefits, and other applicable coverage. Communicate benefit information and estimated patient responsibility to clients. Collect copays, deductibles, outstanding balances, and other patient payments as appropriate. Maintain accurate demographic, insurance, and client information within the practice's EHR system. Ensure required intake forms, insurance information, identification, consents, and other documentation are completed prior to appointments. Assist with insurance authorizations, referrals, and other payer requirements when applicable. Communicate with insurance companies regarding eligibility, benefits, authorizations, and basic claim-related questions. Coordinate communication between clients, therapists, psychiatric providers, management, and other members of the treatment team. Monitor provider schedules and help identify cancellations, openings, scheduling conflicts, and outstanding administrative items. Assist with referral coordination and communication with outside providers and community organizations. Maintain accurate electronic records, spreadsheets, and administrative tracking systems. Protect client confidentiality and follow HIPAA and practice privacy policies at all times. Assist with general office organization, scanning, filing, correspondence, supplies, and other administrative responsibilities. Support management with additional administrative projects as the practice continues to grow. Qualifications Previous experience in a mental health, behavioral health, psychiatric, office strongly preferred. Experience with insurance eligibility and benefit verification strongly preferred. Familiarity with commercial insurance, Medicare, and/or Medicaid is a plus. Experience working with an Electronic Health Record (EHR/EMR) system; TherapyNotes or Valant experience is a plus but not required. Strong understanding of patient confidentiality and HIPAA. Excellent telephone, written, and interpersonal communication skills. Strong organizational skills and exceptional attention to detail. Comfortable communicating with clients who may be experiencing emotional or behavioral health concerns. Ability to manage multiple priorities and remain organized in a busy outpatient practice. Strong computer skills, including Microsoft Office, email, spreadsheets, and web-based systems. Professional, dependable, compassionate, and able to work independently. Bilingual abilities are a plus.
Pay:
$18.00 - $22.00 per hour Expected hours: 25.0 per week
