Overview We are seeking an energetic and organized Front Desk Receptionist to be the welcoming face of our office. This vital role involves managing front desk operations, providing exceptional customer service, and supporting administrative functions to ensure smooth daily operations. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills to create a positive first impression for visitors and clients alike. Responsibilities Greet visitors warmly and professionally, ensuring they feel welcomed and attended to promptly Manage multi-line phone systems, directing calls efficiently and courteously Handle incoming correspondence, including emails, mail, and packages with accuracy and timeliness Maintain organized filing systems, data entry records, and manage document proofreading as needed Support office management tasks such as calendar management, appointment scheduling, and basic bookkeeping using QuickBooks or similar tools Assist with clerical duties including photocopying, faxing, and maintaining office supplies inventory Provide excellent customer support by addressing inquiries via phone or in person while demonstrating proper phone etiquette and professionalism Experience Prior office or administrative experience is preferred, especially in roles such as dental or medical receptionist or personal assistant positions Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications Experience with multi-line phone systems and data entry tasks is highly desirable Bilingual abilities are a plus to serve diverse client needs effectively Demonstrated organizational skills with the ability to multitask efficiently in a fast-paced environment Knowledge of clerical procedures such as filing, proofreading, and calendar management Excellent time management skills with the ability to prioritize tasks accurately and meet deadlines This role is essential for creating a professional atmosphere that supports our team's success.
