The heart of our business is our caregivers—Certified Home Health Aides (CHHAs) and nurses—and we pride ourselves on providing them with a welcoming, seamless, and supportive onboarding experience from day one. Position Overview We are seeking a warm, organized, and compliance-minded Part-Time HR Onboarding Manager to lead our in-person caregiver onboarding and new hire orientation. In this role, you will be the face of our company to new hires. You will welcome incoming CHHAs and caregivers, guide them through digital onboarding paperwork, verify state licenses and credentials, conduct conversational interviews, and facilitate orientation. Welcome arriving applicants with a friendly, hospitable presence. Conduct casual, conversational new-hire interviews to assess caregiver fit and communication skills. Facilitate and present our interactive New Hire Orientation presentation, introducing agency standards and expectations. Take employee badge photos.
Compliance & Credentialing:
Inspect and verify Form I-9 documentation in person. Verify New Jersey CHHA and RN licenses through the NJ Consumer Affairs licensing portal; stamp, sign, and document official verifications. Review health compliance records, including annual TB screenings/chest X-rays. Complete and track work history and reference checks for past employers.
Digital Onboarding & System Setup:
Assist caregivers in completing electronic onboarding forms and setting up payroll via our online portal. Administer caregiver competency assessments, providing guidance when retakes are needed. Build and maintain accurate caregiver profiles in our agency software ( AxisCare ), assigning correct pay rates, service classes, and admin assignments. Accurately track credential expiration dates (licenses, TB questionnaires) and set up 30-day automated reminders.
File Organization & Office Housekeeping:
Scan and upload all onboarding documents into OneDrive. Keep the onboarding tracker spreadsheet up to date with interview notes, statuses, and employment verification attempts. Maintain applicant tech stations (Chromebooks) and ensure confidential paper records (PII) are shredded securely.
Qualifications & Skills Experience:
1-3+ years of experience in HR coordination, onboarding, healthcare recruiting, medical office administration, or related administrative roles.
Industry Knowledge:
Prior experience in home care, healthcare staffing, or familiarity with NJ CHHA/Board of Nursing regulations is a strong plus, but not required.
Tech Savvy:
Comfortable navigating digital onboarding platforms and cloud tools (SignNow, OneDrive/SharePoint, Canva, Google Chromebooks, and agency management/payroll platforms like AxisCare and Greenshades). Attention to

Absolute precision when reviewing legal documents (I-9s, licenses, medical clearances).
Interpersonal Skills:
Warm, approachable, patient, and able to guide applicants of varying tech literacy through digital forms.
Bilingual:
Fluency in Spanish or Haitian Creole is a plus, but not required.

In-person at our office in Roseland, NJ .
Hours:
Tuesday, Wednesday, and Thursday, 9:30 AM to 3:30 PM (6 hours/day, 18 hours/week).
