The ideal candidate will possess strong organizational skills, excellent communication abilities, and a comprehensive understanding of medical administrative support. This role is vital in ensuring smooth clinic operations, providing exceptional patient service, and maintaining accurate medical records. The successful applicant will demonstrate proficiency in electronic health records (EHR) systems, medical billing, and office management while upholding strict confidentiality policies. Duties Greet patients and visitors warmly, ensuring a positive first impression while managing front desk operations with professionalism and courtesy. Schedule appointments efficiently using medical scheduling software such as Epic, Meditech, or Athenahealth, coordinating with clinical staff to optimize patient flow. Verify insurance information, process payments, and assist with medical billing and collections in compliance with HIPAA regulations. Maintain accurate and organized medical records within electronic health record (EHR) systems including eClinicalWorks, Meditech, or similar platforms. Answer phone calls promptly using proper phone etiquette; address inquiries related to appointments, insurance, or general clinic information. Review documentation for completeness and accuracy; assist with coding procedures using CPT codes, ICD-9/10 codes, and other relevant medical coding standards. Support clinical staff with administrative tasks such as preparing care plans, managing patient documentation review, and updating health information management systems. Ensure adherence to clinical confidentiality policies while handling sensitive patient information in accordance with HIPAA guidelines. Skills Extensive experience with medical office administration including front desk management and clerical support functions. Proficiency in EMR/EHR systems such as Epic, Meditech, Athenahealth, eClinicalWorks, or similar platforms. Strong knowledge of medical billing processes, insurance verification, and collections procedures aligned with Medicare and other health insurances. Familiarity with CPT coding, ICD-9/10 coding standards, and documentation review for billing accuracy. Excellent customer service skills combined with effective phone communication and office etiquette. Ability to multitask efficiently in a fast-paced clinical environment while maintaining attention to detail. Bilingual capabilities are highly desirable to serve diverse patient populations effectively. Knowledge of clinical confidentiality policies and healthcare regulations including HIPAA compliance. Competency in Microsoft Office Suite (Word, Excel) along with 10-key typing skills for data entry tasks. Prior clinic or dental office experience is preferred; familiarity with health insurance procedures and medical terminology is essential for success in this role.
