We pride ourselves on professionalism, precision, and a commitment to client service. We are seeking a reliable, lively, and personable bilingual practice support/receptionist (English/Spanish) at our Woodbridge, NJ office. Position Summary The Receptionist and Practice Support role is responsible for assisting with managing the front desk, greeting clients, answering phones, but the main role is with client intake, email management, invoicing, and providing general in office support to the legal and administrative teams. This role is essential to maintaining a professional and welcoming environment for our clients and visitors. Key Responsibilities
- Greet clients and visitors in a courteous and professional manner
- Answer, screen, and route incoming phone calls
- Manage incoming and outgoing mail and deliveries
- Manage client intake, including gathering basic information and scheduling consultations when needed
- Light invoicing and performing file closing procedures.
- Maintain a tidy and organized front office area
- Assist with appointment scheduling and attorney calendar management
- Assist with preparation of client meetings, maintaining our daily event schedule and maintaining our firm calendar
- Provide general office support including printing, scanning, and client folder preparation to legal and office staff as needed
- Ensure confidentiality and security of sensitive client information Qualifications
- Associates degree but bachelor's degree preferred.
- Prior experience in a reception or administrative role is a plus
- Fluent in English and Spanish (verbal and written) is required
- Professional demeanor and excellent communication skills and grammar
- Strong organizational and time management abilities
- Proficient in Google Workspace (Gmail, Docs, Sheets, Calendar, etc.)
- Familiarity with real estate transactions and legal terminology is a plus Schedule Monday to Friday | 8:30 AM - 5:00 PM (includes 1-hour lunch) Compensation $16.
