The Receptionist will be responsible for a wide variety of tasks at Double J Animal Hospital. The tasks include, but are not limited to the following: Reception area Greet clients and pets by name. Maintain new client sheets and availability of writing instruments. Inform clients of expected waiting time if the doctor is behind schedule. Restock products, office supplies, client education materials, hospital brochures, etc. Notify the appropriate person when inventory gets low. Maintain the appearance and cleanliness of the reception area. Report any required repairs to the hospital manager. Answer questions about the proper use and benefits of products offered. Maintain all office equipment in working order, including phones, fax machines, copier, postage machine, calculators, and computers. Phone Receive all incoming calls. Schedule appointments. Take messages for doctors or technicians, obtaining as many details as possible. Screen and direct calls to appropriate doctor or staff member. Call scheduled appointments to deliver appointment reminders and requirements (for example, fasting for 12 hours). Answer questions regarding the status of hospitalized patients as directed by the doctor. Respond to routine medical care questions on such topics as vaccination schedules for puppies and kittens, deworming, presurgical care requirements, flea treatment, etc. Provide treatment plan estimates for such services as surgeries, vaccinations, etc. Reschedule missed appointments. Files and Correspondence As clients arrive, update the existing account or collect necessary information to prepare for the exam. Prepare welcome letters, thank-you letters, condolences, and other correspondence. Complete all scanning and filing. Print and mail or fax patient records at client request. Complete consent forms and verify client and patient information. Provide client education materials, vaccination schedules, rabies tags and certificates, etc. Schedule medical progress exams and/or appointments for additional health care as directed by the doctors. Use computer software system to search for information accurately and efficiently. Financial responsibilities Enter payments accurately. Prepare invoices and receive payments. Reconcile cash drawer daily. Other responsibilities Maintain a professional appearance, including wearing a neat, clean uniform or other appropriate attire. Maintain a professional, courteous attitude. Attend and participate in all mandatory staff meetings. Assist emotional and/or grieving clients. Perform other related duties as directed by the doctors or hospital manager. Requirements Must be Bilingual Must have a High School diploma/GED Must have reliable transportation Due to the nature of the work at this veterinary hospital, this employee must be able to lift 50 pounds. The full time Receptionist should expect to work 35-43 hours per week, and may include weekends. Upon offer of this position, the employee will be on a 90-day-trial. If at any time in those 90 days, the employee or employer find need to terminate the employment, they may do so with no documentation needed. Applicants must have no felony convictions and pass a drug test. Double J Animal Hospital participates in random drug testing.
