Job Description
Seeking friendly, professional and courteous Receptionist/ Client Care person to perform client service procedures and provide support and assistance to clients, veterinarians, technicians, and other staff as necessary. You will be the client's first contact when calling or visiting the practice and as such, will represent the professional image of the practice. You should be able to deal with emergencies in a timely and effective manner and maintain calm and professionalism even when a client is upset or the hospital is very busy. Ability to handle high pressure and stressful situations . This position is currently part-time with the expectation of approximately 15-22 hours per week and will include most Saturdays. Must also have the flexibility to cover additional hours, up to a full work week, for other receptionist's seeking paid time off to use planned vacation or unplanned sick time. Applicant must be able to commute to and from work independently. Responsibilities Answer phones quickly, screen and forward calls, answering questions or directing calls and messages with accuracy and professionalism and scheduling all manner of client/patient appointments. Greet and direct clients and patients coming into or leaving the hospital, Client correspondence including calling clients to remind of upcoming appointments, surgeries, pre-surgical instruction, post-visit progress, other notifications, and preparing and mailing sympathy cards and invoices. Follow patient appointment, admission and discharge procedures and prepare any paperwork required Bill out, print invoice, and collect payment for services Medical and financial record maintenance and documentation Accurately process client requests for medication refills Be able to open or close office, depending on shift, including cashing out procedures as well as end of day clean-up/housekeeping Will attend staff meetings, which may not be held during regular schedule Provide basic and accurate information in-person and via phone/email Receive, sort and distribute daily mail/deliveries Perform other clerical receptionist duties such as filing, photocopying, and faxing Performs other duties as assigned by the Practice Manager, Head Receptionist, Head Technician or Doctor Skills Proven work experience as a Receptionist, Front Office Representative or similar role and or previous work in a veterinary hospital or similar setting is preferred, but not required Perform basic computer skills with a working knowledge of Microsoft Office Suite Hands-on experience with office equipment (e.g. fax machines and printers) Professional attitude and appearance Solid written and verbal communication skills Ability to be resourceful and proactive when issues arise Excellent organizational skills Multitasking and time-management skills, with the ability to prioritize tasks Ability to lift approximately 50-80 lbs Ability to sit or stand for long periods of time Ability to learn how to pronounce, define and spell commonly used veterinary terminology Ability to learn and use the hospital veterinary practice management software Customer service attitude High school degree; additional certification in Veterinary Assistant or degree in Secretarial Practices, animal husbandry or Veterinary Technology a plus
