Administrative Assistant Answers telephone through switchboard. Directs calls to and pages appropriate personnel and takes messages when necessary. Ambulates between photocopy room and reception area within three (3) rings of telephone. Greets people entering building and maintains up to date resident listing in order to give assistance when needed. Sorts and distributes all incoming mail and newspapers, documents proper paperwork for incoming packages, and prepares outgoing mail, as well as overnight, FedEx, and UPS packages. Is the liaison between the day shift duties and relaying information to the night/weekend receptionists on duty of any pertinent information so that the Receptionist Desk runs smoothly. Assists with typing, photocopying, and filing for all departments as needed including the following:- Documents monthly mandatory in-services for the education department. Maintains record of all nursing department in-services for the annual state survey and reports them to Executive Secretary.
- Copies and assembles social services admission packets on a monthly basis.
- Copies and assembles HR orientation packets, as needed.
- Keeps supply of forms in order and up-to-date.
- Records times of admission of new patients to Rehab, types list and distributes to DON monthly.
- Type's paperwork and letters for accounting department.
- Copies and updates dietary labels.
