Description:
Hospice & Palliative Care, Inc. is seeking a compassionate, organized, and customer-focused Receptionist to serve as the first point of contact for patients, families, referral sources, and community partners contacting our organization. This position is responsible for operating the organization's multi-line telephone system, directing calls, providing administrative support, and assisting with communication and technology-related tasks to support daily operations. Essential Duties and Responsibilities Telephone & Communications Answer, screen, and direct incoming telephone calls in a professional, courteous, and compassionate manner. Route urgent clinical calls promptly to the appropriate staff. Take accurate messages and ensure timely delivery. Monitor and distribute voicemail messages. Maintain the organization's telephone directory. VoIP Phone System Maintain the organization's VoIP phone portal. Add, modify, and remove users and extensions. Update voicemail greetings, call routing, and auto attendants. Generate call activity reports as requested. Coordinate with the telecommunications vendor regarding routine service issues. Technology Support Assist with deployment of staff iPhones, iPads, and other mobile devices. Maintain inventory of organizational mobile devices and accessories. Coordinate technology setup for new employees. Recover and document equipment from departing employees. Serve as a liaison with the organization's IT vendor for routine technology requests. Administrative Support Process incoming and outgoing mail. Process incoming faxes and distribute documents appropriately. Scan and electronically file documents. Maintain office supply inventory and place supply orders. Assist with preparation of business cards, staff directories, and other administrative materials. Maintain office forms and departmental contact lists. Provide general administrative support to departments as assigned. Assist with special projects and other duties as assigned.
Requirements:
Qualifications High school diploma or GED required; associate degree preferred. Minimum of two years of receptionist, customer service, or administrative experience; healthcare experience preferred. Excellent verbal and written communication skills. Strong organizational and multitasking abilities. Proficiency with Microsoft Office applications. Ability to learn healthcare software and communication systems. Experience with multi-line telephone systems or VoIP systems preferred. Ability to maintain confidentiality and professionalism at all times. Physical Requirements Prolonged periods of sitting and computer work. Ability to occasionally lift up to 25 pounds. Ability to perform repetitive keyboard and telephone work.
