The Impact You'll Make As the first friendly face and voice our customers encounter, you'll set the tone for their entire experience. You'll keep our front office running smoothly, ensure customers feel heard and supported, and help our technicians stay organized and on schedule. Your role is the bridge between our customers, insurance partners, and repair team—making sure nothing falls through the cracks. What You'll Do Greet customers warmly in person and over the phone, creating a welcoming and professional first impression. Schedule repair appointments, coordinate drop-offs/pick-ups, and manage the shop's daily calendar. Handle incoming calls, emails, and inquiries, directing them to the right team members. Prepare and update repair orders, estimates, and insurance documentation. Maintain organized files—both digital and paper—for customer records, parts orders, and invoices. Communicate with insurance adjusters and vendors to keep repair timelines on track. Keep the reception area tidy, stocked, and customer-ready at all times. Assist with light bookkeeping tasks such as processing payments and reconciling receipts. What You'll Bring Previous experience in a receptionist, office assistant, or customer service role (auto industry experience a plus, but not required). Strong organizational skills—you can juggle multiple priorities without losing track of details. Excellent communication skills, both in person and over the phone. Comfort with basic office software (Microsoft Office, Google Workspace) and willingness to learn shop management systems. A calm, professional demeanor—even when the shop is busy and the phones are ringing off the hook. A team-player mindset and a genuine desire to help people.
