Job Summary We are seeking an energetic and detail-oriented Front Desk Receptionist/Office Assistant to be the welcoming face and organized backbone of our busy office. In this vital role, you will manage front desk operations, provide exceptional customer service, and support daily administrative functions to ensure smooth office workflows. Your positive attitude, strong organizational skills, and proficiency with office technology will help create a professional and efficient environment for staff and visitors alike. Duties Greet visitors, clients, and vendors warmly, ensuring a positive first impression at all times Answer multi-line phone systems promptly and professionally, directing calls accurately and courteously Manage incoming and outgoing correspondence, including emails, mailings, and deliveries Maintain organized filing systems—both physical and digital—using tools like Google Workspace and Microsoft Office Perform data entry, proofread documents, and handle clerical tasks such as photocopying, scanning, and faxing Support office management activities including calendar management, appointment scheduling, and meeting coordination Assist with bookkeeping tasks using QuickBooks or similar software to support basic financial record-keeping Provide customer support by addressing inquiries efficiently and maintaining excellent phone etiquette Manage office supplies inventory and place orders as needed to ensure smooth operations Support personal assistant duties when required, including travel arrangements or special project assistance Qualifications Experience in office administration or clerical roles with strong organizational skills Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools Familiarity with multi-line phone systems and professional phone etiquette Bilingual abilities are highly desirable to serve diverse client needs effectively Prior experience as a receptionist in medical or dental offices is a plus but not required Strong typing skills with attention to detail for proofreading and data entry tasks Ability to handle multiple priorities efficiently with excellent time management skills Demonstrated customer service skills with a friendly yet professional demeanor Knowledge of basic bookkeeping practices using QuickBooks or similar software is advantageous Personal assistant or office management experience is beneficial for supporting broader administrative functions Join our team to be the friendly face that keeps our office running smoothly!
