What you'll do As an Administrative Assistant, you will support the day-to-day administrative and financial operations of the community. Responsibilities include managing billing and resident accounts, handling phone calls and mail, coordinating schedules and appointments, maintaining records, assisting with payroll and office administration, and supporting communication efforts with residents and families. You'll also collaborate with multiple departments, manage supplies and inventory, assist with marketing materials, and help with seasonal administrative projects to ensure smooth and efficient operations. Home of the Good Shepherd provides exceptional assisted living and enhanced assisted living services to residents at our senior living community in Saratoga Springs, NY. Job Description:
As an Administrative Assistant you will be managing the following responsibilities: Manage billing processes, including long-term care insurance and monthly rent payments Maintain and reconcile resident accounts, petty cash, and related financial records (must be accurate with balancing accounts) Serve as a primary point of contact for resident families regarding financial and administrative matters Handle incoming phone calls and mail distribution in a professional and timely manner Coordinate with various departments (Activities, Nursing, Administration) to support resident needs Assist with incident reporting, census updates, and record maintenance Support scheduling and payment for on-site services and external appointments Manage office and program supplies, ordering and maintaining inventory as needed Distribute communications such as calendars, newsletters, and updates to families Provide support for payroll processing and staff-related administrative tasks, including filing Assist with marketing efforts by coordinating materials and distributing promotional items Participate in seasonal and annual administrative tasks such as tax letters and holiday communications

Monday - Friday, 7:30 am to 4:00 pm
Rate:
$18.00 - $20.00/hour
Requirements:
High school Diploma/GED Ability to work independently Great customer service Working in a team environment Passion for serving seniors Good communication and interpersonal skills Previous experience in an assisted living, nursing home, or healthcare setting is highly desirable
